Overview
Training events allow you to host virtual or in person events from start to finish. Create your event with all the important details your learners need to attend including the date, time, location, etc. Add training content to an event in order to facilitate a process of learning both before and after your event takes place. Register learners for an event and take their attendance or track their training content completion to get a complete record of their training experience.
One-time events
A one-time event is designed to occur on a single day or a range of days.
Event series
An event series is used for an event that occurs multiple times.
When creating a series you will add at least one occurrence which has its own unique date, description, attachments, location, instructors and registrants. The event’s training content will apply to each occurrence in the series.
- As an example, your company is conducting the same training in multiple locations over the course of a month. You would set up an Event series, creating an occurrence for each location where the same training content applies to all occurrences.
Attachments and training content
Attachments
Reference materials for the event can be added as attachments. Learner progress will not be tracked for these items. You may want to associate items without first creating them as a content item. These could be things like parking directions, or a slide deck. You can also add content that's already within the app. You'll add items as Training content if there's a need to track completions for those items.
Add Training Content
Training content is what registrants should complete in addition to attending this event. Learning records will be captured for each content item completed by registrants. To add reference materials to the event you can utilize attachments
- Pre-work: Training content that should be completed prior to the event date.
- Live Training: Content that should be completed during the event. From the event itself, learners cannot complete this content until the event start date.
- Post-work: Content that should be completed after the event has concluded (the end date/time has been reached). From the event itself, learners cannot complete this content until the event concludes.
- Lessons and Learning Paths
- When a lesson or learning path is added as training content, upon saving, it will be disassembled down into the individual pieces that made up those items. These pieces are no longer grouped together as part of the original lesson or learning path, therefore sections and gating are removed.
Editing an event
Edit events (one-time, series, and series occurrences)
- Events can be updated at any time. Changes to date/time, training content, etc. will be reflected immediately to admins, coaches, and learners. Notifications are not automatically sent when a change is made. You can utilize the email registrants action to send out an update if necessary.
Change event edit access and ownership
- You can transfer ownership of the event and also grant edit access to Content admins that will allow them to make updates to the event.
Adding and managing registrants
View learners progress
- Progress tracking on pre-work, live training, and post-work progress is available to admins and coaches. Admins can find this when viewing the event or the learner. Coaches can find this when viewing the learner.
People tab
- A Training events tab is available when viewing a user in the People tab. Within that page you’ll see all upcoming and past events and person has been registered for.
Take attendance
- Event attendance can be tracked from the Registrants tab within the event. People can be marked as Present, Absent, or left as Not set. You can update them individually, or in bulk using the UI. There’s also an option to import a csv that will handle larger groups more efficiently.
Import Attendance
- The import workflow allows you to download a list of the current registrants, set their status in the file, then upload it which will update their attendance in the UI.
Coach event experience
Coaches can access details about their learner’s events by navigating to a specific user and then their events list. Within the event view they can see event details like date/time, attendance, and training content progress.
Learner event experience
Learners can access their events from an email notification, or from their dashboard widget. When viewing an event in the app, all of the event information is available, such as location, date and time, instructor(s) as well as access to any pre-work, live training, or post-work that’s associated.
Add to calendar
- For more visibility of an upcoming event, registrants can add it to their calendar from the registration email or via the event from within the app.
Reporting
Reporting can be accessed when viewing an event.
- The Registrant status report provides high level insight into each registrant's attendance, and training progress (count of completions).
- The Registrant training content results report presents a more granular view into training content progress and scores for scorm courses and authored content.
