By default, folders access is granted to learners when they have view access to the content within them. As an example; a document is located in three different folders. If a learner has view access to the document, they can see all three folders.
However, there may be situations where you don't want certain learners to see all of the folders. In that case, you can apply a view access group to the folder during while creating or editing it. By assigning at least one group, you have the power to decide which user groups will be able to see the folder when they navigate through the content library.
To enable this option:
- Create or Edit a folder
- Select the Restrict view access tab
- Enable Restrict view access
- Add groups and save
*Subfolders will inherit the parent view access restriction
To illustrate this, let's go back to our example. We've applied a view access restriction to two of the three folders. If you're not associated with the groups to which the restriction applies, you won't be able to see those folders.
It's important to keep in mind that while folder visibility can be controlled, the content view permissions within the folders still apply. This means that:
- View access on the folder doesn't grant access to all content within it. You will continue to see only the documents and resources to which you have explicit view access within the folders you can view.
- If you don't have access to any of the content within the folder, the folder will not be displayed.
