Workflows

You can configure content or curriculum to be automatically assigned to current users, those that are joining in the future, or both. Setup includes selecting the item to be assigned, the user groups that will receive the assignment, and when it is due.

Workflows can be added to the app as an Add-on. This feature is only accessible to super admins. Read more about Add-ons here.

To create a workflow:

• Select the icon from the left side navigation in the admin view.
• Select the + icon
• Select Auto-assign
• Fill out the details
  • Title (required)
  • Description
  • Availability
    • Publish Date - The date the workflow will run for the first time
    • Expiration Date - The date the workflow should no longer run
• Assign To:

  • Future group members only:

    • If this option is selected, the learners that will be auto-assigned are:

      • Those that are added to the Workflow’s associated View Access Group AFTER the Workflow has been saved AND are not currently assigned (outside of this workflow)

  • Existing and future group members:

    • If this option is selected, the learners that will be assigned are:

      • Those that are currently associated with the Workflow’s associated View Access Group AND are not currently assigned (outside of this workflow)

      • Those that are added to the Workflow’s associated View Access Group AFTER the Workflow has been saved.

Add Assignment

Next, you'll need to select the content or curriculum that will be automatically assigned. This is limited to one item. After selecting the item you can:

• Determine how many days from the assign date that it is due. You also have the option to set no due date.
• Add a message that anyone assigned will see when opening the assignment
• Determine if an email should be sent when the assign action occurs (content only)
• Require new completion (preventing any progress made elsewhere from being applied) (content only)
• Require a review by a coach once it is submitted (content only)
• Select an alias if you want the learner to see a different assigner (you will be the default assigner) (content only)

Add Groups

Here you'll add user groups. Users within these groups will be receiving the automated assignment, as long as they fit within the rules listed above.

Workflows are processed three times a day at 8:10am,  3:10pm, and 10:10pm EST.
